Job Information:

The Associate Producer / Production Manager supports both series production and studio-wide production operations, helping ensure that creative, technical, and logistical elements come together smoothly across projects. Working closely with the Head of Production, this role helps to manage day-to-day production activity on assigned projects while coordinating across all departments and external vendors to ensure work is delivered on time and at the expected level of quality. 

In parallel, this role helps build and maintain the studio’s production infrastructure: developing production templates, reporting tools, and resource-planning systems that improve visibility into production data, supports effective resource planning, and helps the studio grow while maintaining creative and production excellence.
 

Your duties will include:

Production Operations & Systems

  • Build and maintain production templates, reporting tools, and dashboards (e.g., Airtable & ShotGrid) to support studio-wide visibility and decision-making.
  • Design and maintain resource-planning trackers to support staffing forecasts and workload visibility.
  • Develop and maintain studio-wide production documentation, templates, and standards via the studio wiki.
  • Identify opportunities for process improvement and contribute to refining production pipelines for efficiency, clarity, and scalability.
  • Support onboarding of new production staff to ensure consistent adoption of studio workflows, tools (ShotGrid, Airtable), and policies.
  • Develop and maintain internal databases and lists to support recruitment and staffing needs. 

Production Planning & Oversight 

  • Under the guidance of the Head of Production, maintain production schedules, delivery timelines, reports, and resource allocations.
  • Support the planning and execution of assigned projects, balancing creative expectations with schedule and resource constraints.
  • Track production progress across assets, animatics, and shots, flagging risks and dependencies early.
  • Ensure milestones are met and that downstream teams are informed of schedule or scope changes.
  • Use ShotGrid to track schedules, assets, shots, and task progress; ensure data accuracy and consistency across projects.

Cross-Team & Vendor Coordination

  • Serve as the primary point of contact between internal teams and external animation vendors.
  • Coordinate ShotGrid access, permissions, and data-sharing with external partners as appropriate.
  • Communicate creative direction, notes, and priorities from the Head of Production and Showrunner in a clear, actionable manner.
  • Package and deliver assets, documentation, and reference materials to vendor studios to support production.
  • Run and facilitate daily or weekly production standups and cross-department syncs.
  • Proactively surface blockers, risks, or misalignments that may impact schedule, quality, or delivery.

Workflow, Pipeline & Creative Support

  • Coordinate retakes and creative revisions, ensuring all required notes, files, and approvals are clearly communicated.
  • Partner with editorial to track updated cuts, shot statuses, and creative changes impacting production.
  • Troubleshoot workflow or pipeline bottlenecks in collaboration with artists, editors, and vendors.
  • Support the Showrunner and Head of Production by preparing materials, documentation, and summaries to drive creative and production alignment.

Production Administration

  • Monitor asset delivery, naming conventions, folder structures, and archival standards to maintain production quality and consistency.
  • Assist with production reporting, status updates, and leadership-facing summaries.
  • Ensure all file deliveries are complete, accurate, and production-ready.
  • Support onboarding and offboarding workflows for production staff.
  • Provide mentorship, training, and guidance to Production Coordinators, PAs, and junior PMs as appropriate.
 

A successful candidate will have:

  • 7+ years of animation production experience required
  • Advanced ShotGrid configuration experience, including dashboards, schemas, task templates, and reporting
  • Demonstrated ability to design production-tracking systems that scale across multiple shows
  • Airtable certification required
  • Experience with Photoshop and other art software
  • Excellent organization and communication skills 
  • Must have strong ability to prioritize & deal effectively and professionally with all levels of production
