About the Role
Glitch Productions is looking for a Business Systems Manager to help run the day-to-day operations of the Business Systems department. This team focuses on how the company operates: improving workflows and rolling out better systems across every department.
Working closely with the Head of Business Systems, you will support this work by coordinating projects, leading change management, documenting our processes, and helping ensure agreed-upon workflows and standards are followed across the company's systems. This role is ideal for someone who enjoys bringing structure to complex work, coordinating across multiple teams and departments, and turning designs into systems people actually use.
What you’ll do
- Manage delivery schedules and day-to-day priorities across the Business Systems department.
- Coordinate and track Business Systems initiatives and milestones to ensure work stays on track and key deliverables are met.
- Own and coordinate change management for new systems, processes, and workflows. This includes planning rollouts, communicating with other departments, preparing training and reference materials, and following up to confirm team adoption.
- Help prioritize initiatives based on needs, dependencies, urgency, and the team’s capacity.
- Create and maintain clear documentation for company standards, operating practices, and new workflows.
- Run the department’s operating cadence: prepare agendas, capture decisions and action items, and chase follow-ups for recurring check-ins.
- Report on initiative status and system health to the Head of Business Systems.
- Triage incoming requests and tickets for the Business Systems department, directing them to the right owner and tracking them through to resolution.
- Audit how teams are using company systems and processes, and coordinate fixes, retraining, or process updates where needed.
- Help enforce Business Systems governance policies and escalate higher-risk or recurring issues where appropriate.
What we're looking for
- Strong experience in project management, operations management, or a similar coordination-focused role.
- Highly organized with the ability to manage multiple initiatives and priorities at once.
- Experience rolling out new processes, systems, or workflows across a department or organization.
- Strong judgement: able to prioritize work, triage requests, and identify where escalation is needed.
- Clear written and verbal communication skills.
- Comfortable reviewing how teams operate and identifying inconsistencies or gaps, and following through with suggested improvements.
- Ability to balance thoroughness with speed, keeping solutions proportionate to the problem being solved.
- Able to work independently and take ownership of ambiguous or evolving work.
- Strong interpersonal skills and confidence working with people across different teams and levels of seniority.
- Quick to pick up new software, and comfortable spending the workday inside the company’s core tools.
- A practical, process-focused mind with an interest in making companies run more efficiently.
- An engaging personality, willingness to learn, and a genuine enthusiasm for making things happen.
Nice to have
- Experience working with Airtable or similar low-code database tools.
- Experience working in a fast-growing company where systems and processes are still being developed and refined.
- Experience working in animation, gaming, entertainment, or another creative industry.
- An understanding of or interest in the arts, animation, gaming, and/or ‘internet nerd’ culture.
What we offer
- Competitive salary and package commensurate with experience
- A flexible environment with opportunities for hybrid work.
- A fun office environment where individual input is valued.
- Regular work functions and free entry to conventions and events.
- Close to public transport in the heart of Parramatta and Melbourne CBD.
- Regular company breakfasts/lunches.
- A diverse team that values independent input and career development.
